The Opportunity
Solid Solutions are looking for an executive assistant to report directly to our managing director.

This is a part time role based around our Kenilworth office. You will be involved in all departments of the business and this role offers an exciting opportunity to make a real impact on the effectiveness of the business.

The full range of responsibilities is impossible to capture but is likely to develop as trust is established and knowledge grows.
Key Details
Salary Range:
£11,000-13,000 (assuming a 15 hour work week)

Hours of work:
Part time, ideally three hours a day, five days a week. This could be flexible for the right candidate.

Location:
Hybrid working. A combination of home working and time spent in Abbey Park, Stoneleigh, Kenilworth with occasional work at a location in Newbold Pacey.

Job Description
The Key accountabilities of the role:
  • Managing phone calls (and possibly emails) for the Managing Director
  • Diary and expenses management for senior directors
  • Scheduling and minute taking for Management and Board meetings
  • Travel and accommodation arrangements for individual and team events
  • Internal room booking
  • Finance administration
    • Credit card statements, supplier set up forms, invoice statements and follow up letters
  • Marketing administration
    • Management of company clothing issued to all employees
    • Management of marketing collateral, branded pens for training courses etc.
  • Training administration
    • Management of customer requests for SOLIDWORKS discs
  • Event administration
    • Organisation of large annual company events (average 4-5 per year)
Your Experience / Skills
Skills and Competencies:
  • A high level of confidentiality and personal discretion
  • Extremely organised and able to manage multiple priorities
  • Polished communication skills including over the phone, by email and face-to-face
  • Ability to polish and word-smith documents e.g. meeting minutes and internal communications
  • Agile thinking – comfortable to adapt to new requirements and situations
  • Willingness to adapt, learn new things and get involved wherever there is an opportunity
  • Confidence to use judgement and take initiative
  • Proficient user of MS office and Outlook and enthusiasm to embrace other systems which aid organisation and communication
  • Ability to work concisely with fine attention to detail
  • Self-motivated and trustworthy
  • Physical ability to manage practical tasks such as maintaining drink stocks in customer and employee areas, handling stationery and post deliveries
  • Willingness occasionally to work additional or different hours when needed
  • Likely to be a proven professional rather than an inexperienced candidate
